New York-based Administrative Assistant Job Description 

The Administrative Assistant plays a critical role in i(x) investments’ team-based approach, overseeing general office operations, expense reports, travel, logistical and technology needs for a four person New York office. The ideal candidate will be highly organized, detail-oriented and comfortable multi-tasking, with strong experience working in a fast-paced start-up. S/he will ensure smooth and effective coordination of company projects and productivity. Reports to Chief of Staff and COO.

Administrative Assistant responsibilities include:

  • Management of office operations, including resolving administrative issues and troubleshooting local office issues
  • Scheduling and coordinating employee/office schedule(s)
  • Processing monthly expense reports for executives
  • Coordinating employee travel arrangements
  • Management of company documents (including organizing existing documents and creating new documents)
  • Scheduling, planning and providing logistical support of NY-based internal and external meetings and other company and client-related activities
  • Liaising and coordinating with LA-based staff to provide local assistance as required
  • Liaising with Landlord regarding office space issues
  • Managing special projects assigned by senior management
  • Other duties as assigned

Successful applicants will demonstrate the following qualities:

  • Minimum 1-3 years of experience working as an Office Assistant, preferably in a start-up environment
  • Outstanding administrative, organizational and problem-solving skills
  • Ability to handle multiple tasks simultaneously and strong attention to detail
  • Computer proficiency – Word, Excel, PowerPoint, Outlook
  • Excellent interpersonal and written communication skills
  • Ability to thrive as a leader in a dynamic, start-up environment
  • Ability to act with discretion and manage confidential information and situations with efficiency, flexibility and diplomacy
  • An interest in impact investing
  • Minimum of associate’s degree, bachelor’s degree preferred
